LinkedIn Smart Links package slide decks, PDFs, videos and web pages into one link you can send in a LinkedIn message, an InMail or an email.

What are LinkedIn Smart Links?

LinkedIn Smart Links are a feature inside Sales Navigator. You upload documents, add web pages, and Sales Navigator wraps the whole set in one unique link. You send that Smart Link instead of an attachment, and the prospects who open it show up in Sales Navigator analytics.

LinkedIn describes the feature as a way to package and share content like slide decks, videos and website URLs with prospects, using a single trackable link from inside the Sales Navigator workflow, and to track viewing behavior afterward.

Two things separate a Smart Link from a file in an email. The content lives in a viewer you can still change after sending, and everyone who opens it identifies themselves before the first page appears.

That second point is the one sellers forget. The tracking is not hidden from the buyer. It is a consent screen with your name and photo on it, which changes how you write the messages that carry your Smart Links.

Sales Navigator Smart Links: which plans include them

Sales Navigator Help states that you must have a Sales Navigator Advanced or Advanced Plus account to access Smart Links. The plan comparison page shows the same split: the Smart Links row is checked for Advanced and Advanced Plus, and empty for Core.

  • Sales Navigator Core: no Smart Links. Search, lists, alerts and InMail only.
  • Advanced: Smart Links included, and the seller who owns the seat can create, share and read them.
  • Advanced Plus: Smart Links plus CRM writeback, so a view can become an activity on the matched record.
  • Admin-only users: no access, even on a contract where the feature is on.
  • No standalone version: LinkedIn states Smart Links is not available without Sales Navigator.

Sales Navigator Smart Links are part of the plan, not an add-on you can buy on their own. A team on Core that wants tracked content has to upgrade the seat or reach for a different document tool.

Prices change and are not quoted here. Check the Sales Navigator plan page before you buy a seat for this one feature, and read the LinkedIn Premium comparison first if tracking content is the only thing you want.

What you can put inside a Smart Link

LinkedIn documents a limit of 15 files per Smart Link, each up to 200 MB. It also warns that files under 200 MB occasionally fail during upload because operating systems differ. Web pages and videos hosted elsewhere are added as links rather than uploads.

Download-only files are a blind spot. They leave the Smart Links viewer, so the reading time you care about is never measured. Put the argument in a PDF or a deck, and keep the spreadsheet as the appendix.

How to create a Smart Link

You create Smart Links on the desktop. LinkedIn states that all Smart Links are mobile friendly and that you can view links and their viewer activity in the Sales Navigator mobile app, but you cannot create one there.

  1. Decide what the link has to prove

    Pick the two or three documents that answer the question this buyer actually has. A Smart Link holding everything you own tells you nothing, because attention spreads across files nobody asked for.

  2. Open Smart Links in Sales Navigator

    Sign in, click Smart Links in the top menu, then click New Smart Link. The same page lists every link you have made, with preview, modify, delete and analytics for each one.

  3. Add the title and the content

    Enter a title, then click Add and choose Files or Website. Add each file the same way. For a video hosted elsewhere or a page on your site, choose Website and enter the title and the address.

  4. Choose the download setting and create

    Select the checkbox that lets recipients download viewable files if you want that, then click Create. Preview the result, because the preview is exactly what the buyer sees.

  5. Copy the link and send it

    Move your cursor over the Smart Link and click Copy Link, then paste it into a LinkedIn message, an InMail, a chat or an email. Anyone can receive one.

  6. Say in the message what is behind the link

    Name the documents and why you chose them for this person. A consent screen is easier to accept when the buyer already knows what they are agreeing to open.

  7. Read the analytics before you follow up

    Move your cursor over the link and click Analytics to see who opened it, when, how many times, and how long they stayed on the content.

  8. Follow up on the content, not on the click

    Ask about the topic they spent time on, not about the fact that you watched them. Keep the next ask small and easy to answer.

You can update Smart Links after they have gone out. Hover it, click More, then Modify to change the title, add content or update viewer permissions. Anyone who opens a modified link sees only the current version, which is useful and easy to forget.

Building one inside an InMail

You can also build the link while writing the message. Compose an InMail from the Sales Navigator inbox or from a prospect profile, click Add Smart Link at the bottom of the message, enter a title, add the files, and click Insert.

The Smart Link is added to that message and saved to your Smart Links tab, so it behaves like any other Smart Link afterward. This is the fastest route when the content is specific to one buyer and you will never reuse it.

How you share a Smart Link

Sharing is deliberately plain. Hover the Smart Link, click Copy Link, and paste it wherever you write. LinkedIn states that anyone can receive a Smart Link, and lists Sales Navigator, InMail and email as the routes.

Most sellers share Smart Links in three places: LinkedIn messages to people they already know, InMail to leads outside the network, and cold email to the same prospects on another channel.

In the mobile app the same menu offers Preview Smart Link, Copy link, Send in private message and Share via, which is enough to send one between meetings.

Because Smart Links work outside LinkedIn, sellers drop them into cold email, into a calendar invite, or into an outreach step in a sales cadence that mixes channels. The tracking works the same way wherever it lands.

What the viewer sees when they open it

This is the part the seller never looks at and the buyer always does. LinkedIn documents it clearly: the shared link displays the author profile image and name, even when privacy settings normally restrict who can see them.

A viewer who is signed in to LinkedIn gets a welcome screen and clicks Agree and View. A viewer who is not signed in is asked to sign in, or to provide a first name, last name and email address before the content opens.

Two more things live on that screen. Your Sales Navigator admin can attach a company privacy policy URL, which appears as a link on the opt-in page for everyone on the contract. And the recipient can report the content from More on the left rail of the viewer.

What tracking the sender gets

LinkedIn publishes the exact list. A unique link is created, and by tracking that link and using LinkedIn cookies, the author is given these insights about viewers:

  • The click: confirmation that a viewer clicked the link, and how many times they clicked it.
  • The time: the amount of time a viewer spent on the Smart Links content.
  • The moment: the date and time the content was accessed.
  • The identity, signed in: basic profile information such as name, title, company and public profile picture.
  • The identity, signed out: the name the viewer provided, and their email address if they chose to give it.

Smart Links analytics sit behind the link itself: hover it on the Smart Links page in Sales Navigator and click Analytics. Admins see far less. LinkedIn reports how many presentations a user created and how many viewers they have had, not who received them or what was inside.

No benchmarks here

Vendors publish reply rate and engagement figures for Smart Links, measured on their own users and their own campaigns. None of them are quoted on this page. Compare your own outreach with and without a link, on the same audience.

CRM writeback and usage reporting

On Sales Navigator Advanced Plus, an admin can turn on a Log Smart Links toggle so views write back to Salesforce or Microsoft Dynamics 365 as an activity. The record carries the Smart Link title, the date of the event and a link to the analytics page.

The rules matter more than the setup. The event fires once per viewing session, unless the same viewer started a session less than sixty minutes earlier. The viewer must already match a CRM record and must be signed in to LinkedIn, or the activity is not captured.

Sales Navigator usage reporting is separate and thinner: Smart Links created by a user, and total views of the links that user made. It tells a manager who uses the feature, not whether the content works.

How sellers use Smart Links in outreach

Engagement data is not lead generation on its own, and an open is not a lead. It tells you which leads deserve a human follow-up this week and which prospects were being polite, and it turns a list of clicks into two or three messages worth writing.

In every case the Smart Link is the carrier, not the argument. Write the message so it makes sense even if the prospect never clicks, and pick the content against your ideal customer profile, not against what you happen to have in a folder.

Where a Smart Link fits in a sequence

This sequence was written for this page. It assumes a buyer who replied once and then went quiet, and it uses the link at the point where proof helps rather than at first contact.

If nobody opens the link, the content was wrong or the relationship was too thin. Neither is fixed by sending the same link again.

Privacy and honesty with prospects

LinkedIn is explicit that the viewer consents. Recipients see a consent screen and agree to share engagement insights with the customer before they see the content, and that applies to LinkedIn members and non-members alike.

Viewers keep control afterward. Someone who opened a link while signed in can revoke consent from their privacy settings, which deletes their viewing data. Someone who was signed out can contact LinkedIn support to access or delete their view history.

So the honest framing is simple: your prospect can tell. They agreed to be measured, they know who sent the link, and they can withdraw. Treat the data as permission to be useful, not as a license to say "I saw you read page four".

Watch the compliance line

LinkedIn states Smart Links has no industry-specific compliance such as HIPAA or FINRA, and that it is not meant to replace tools built for highly sensitive communications. Regulated content belongs in the system your legal team already approved.

The limits LinkedIn documents

Most of the honest limits come straight from the LinkedIn help pages. They are not bugs, they are design decisions, and a seller should know them before building a workflow on the feature.

  • No expiry dates. You cannot set a Smart Link to stop working on a date.
  • No passwords. There is no way to password protect a presentation.
  • No download control. You cannot prevent viewers from downloading assets from the presentation.
  • No forwarding control. Anyone with the link gets in; LinkedIn surfaces the new viewer instead of blocking them.
  • No per-viewer blocking. Each presentation has one unique link that grants access to any viewer.
  • No admin content rules. There are no admin controls that restrict what a seller may upload.
  • Deletion is the off switch. Delete the presentation and every viewer loses access, which is the only real revocation you have.

Two more limits belong to the Sales Navigator seat, not to the Smart Link. If a seat is disabled or the user leaves the contract, their Smart Links stop working for the people who already hold them. If a license moves to a new account, the links move with it.

When a plain link is better

A Smart Link buys measurement and costs friction. When the friction is worth more than the measurement, send a normal URL or an attachment instead.

  • Public content you want found. LinkedIn prevents search engines from crawling Smart Links, so a blog post belongs on its own URL.
  • A first touch with a stranger. A consent screen is a big ask from someone who has never heard of you.
  • Documents that need real controls. If it must expire, need a password, or stay off a colleague's laptop, use a document tool that offers those.
  • Internal forwarding. Procurement and legal teams often refuse to sign in to read a supplier's file.
  • Anything regulated. See the compliance note above.

How to read the signal without overreading it

Smart Links analytics answer a narrow question: did this person spend attention on this content, and when. Everything else is inference. Treat the numbers as a prompt to ask a better question, not as proof of intent.

Engagement with your content is a soft form of intent data. It is one input next to job changes, hiring and company news, and it is strongest when several signals point the same way in the same week.

Common Smart Links mistakes

  • Loading fifteen files into one link so the analytics measure confusion instead of interest.
  • Sending Smart Links cold, with no sentence explaining what the buyer is agreeing to open.
  • Opening follow-up messages with the tracking: "I saw you spent four minutes on the pricing deck".
  • Treating one short open as a buying signal and escalating to a proposal.
  • Putting the real argument in a download-only file, where reading time is invisible.
  • Using Smart Links for contracts or regulated documents that need expiry, passwords or audit trails.
  • Blasting the same Smart Link to a list of leads through a tool, which drags the account into the automation rules covered on our LinkedIn automation page.
  • Forgetting that a link dies with the seat, so the customer you onboarded last year cannot reopen it.

The pattern behind all of them is the same: the link is treated as the outreach. It is only a container. The judgment about what to put in it, and what to say next, is still the job, as our outreach tips page argues at more length.
