Data enrichment API: what it returns, how it plugs into a CRM, and how to judge one before you pay.

A data enrichment API is a service that takes a partial record, an email address, a company domain, a name, a LinkedIn URL, and returns the fields you are missing: title, seniority, company size, industry, revenue band, location, technologies, a verified email or phone, and sometimes signals such as hiring or funding.

This guide covers how the request and response work, the field families, the use cases inside a CRM and a lead flow, the six things to check before choosing one, the setup steps, and the compliance rules that come with the data.

What a data enrichment API is

A data enrichment API is a service that takes a partial record and returns the rest of it.

You send an identifier: an email address, a company domain, a person's name with their company, or a LinkedIn URL. The provider matches it against its database and sends back the fields you were missing.

Those fields are the person's title and seniority, the company's industry, size, revenue band and location, the technologies the company uses, and a verified email or a direct phone. Some providers add signals such as recent hiring, funding or leadership changes.

The API is what makes lead enrichment automatic: instead of a rep looking up each lead, the CRM, the form or the sequencing tool calls the service and writes the answer into the record.

The word API matters for how the enrichment data arrives.

An enrichment integration inside a CRM is the same service with the plumbing done for you; the API is the raw service, called by your own systems, which is what a team needs when enrichment has to run inside a form, a routing rule, a scoring model or a custom lead flow.

Most providers offer both, and most teams meet the API when the integration cannot do something the flow requires.

How a data enrichment API works: request, match, response

Requestan email, domain, name or LinkedIn URL
Matchagainst the provider's database
Responsefields plus a confidence score, in seconds
Write-backfill blanks, flag conflicts
Verify and useemail check, then routing, scoring, outreach
Your systemThe providerThe APIYour rulesSales and marketing

The request carries the best identifier your data has, and the identifier decides the match rate more than the provider does.

A business email matches best, because it names the person and the company at once; a domain alone matches the company; a name plus company matches a person with less certainty; a LinkedIn URL matches a person well where the provider has profile data.

The response returns the fields the provider holds, each with a confidence, and a no-match when it has nothing.

Your side decides what to do with it: fill the blanks in the CRM, flag fields that conflict with what a person typed, verify any email before it enters a sequence, and log the no-matches so the match rate can be measured.

The enrichment API call runs in three patterns, and real-time enrichment is the one most teams want first. Real time, on lead creation, so that a form lead is enriched before it is routed and a rep sees the full record within seconds.

Batch, on a schedule, across the existing database, because titles and companies change. On demand, when a rep looks up one account before a call. Most teams run the first two and give reps the third through the CRM's enrichment button.

What a data enrichment API returns

Field familyExamplesMatched fromUsed for
ContactVerified business email, direct phone, LinkedIn URLName and company, or LinkedIn URLReaching the person
RoleTitle, seniority, department, start dateEmail or LinkedIn URLRouting, qualification, the right message for the role

Two data families are worth caution. Demographic fields such as age and gender appear in some providers' responses and have no use in B2B sales and no lawful basis to hold in many regions; leave them unmapped.

Technographic and signal fields carry a date, and a field with an old date is a first line waiting to be wrong.

Use cases inside a CRM and a lead flow

Form enrichmentThree fields on the form, twelve in the CRM

The form asks for name, email and company; the API fills title, size, industry and phone before the lead is routed. Shorter forms convert more, and the routing has what it needs.

Real-time routing and scoringThe right rep, in seconds

Company size to the segment, territory to the rep, seniority to the sequence, all from API fields, so the inbound lead reaches a person while it is warm.

CRM hygieneA scheduled batch across the database

Quarterly re-enrichment catches job changes and company growth; deduplication and lead-to-account matching use the returned domain and company identifiers.

Outbound list buildingFrom a list of names to a list of prospects

The API adds verified emails and current titles to a list built from the profile, and the technographic and signal fields supply the reason for the first line.

Visitor identificationWhich companies are on the site

Identity resolution from IP to company shows target accounts researching before they identify themselves, which feeds account-based outreach.

Compliance workflowsRemovals that reach every system

Some providers expose a compliance API for suppression and deletion, which is what makes honoring a removal request across the CRM, the sequencer and the ads audience possible.

How to evaluate a data enrichment API, in six dimensions

DimensionWhat to checkHow
Match rateThe share of your records the API can identify, split by emails, phones and company fieldsA trial on a sample of your own list, never the vendor's demo list
AccuracyWhether the returned fields are right and currentCheck a hundred records by hand; note the dates on technographic fields
LatencyResponse time at the median and at the slow tailReal-time form enrichment needs sub-second; batch does not
CoverageYour market, region, company size and rolesMatch rate by segment on the trial
ComplianceWhere the data comes from, certifications, deletion support, GDPR and CCPA postureThe documentation and the contract, not the sales call
PricingPer call, per match or per seat; minimums; what counts as a matchCost per usable record, a match with a verified email

The trial of the enrichment API on your own data is the whole evaluation; everything else is the vendor's description of itself. Lists of the best data enrichment APIs rank providers on their published claims and change every year; the ranking that matters is the one your trial produces for your market.

Data enrichment API providers, pricing and free tiers

The data enrichment API market has four kinds of provider, and most sales and marketing teams end up with one or two.

The large B2B data providers, ZoomInfo, Cognism, Apollo and similar, sell an enrichment API alongside a database and a search product, with contact data, company data and signal data in one response and native CRM connectors on top.

Data-focused API companies, People Data Labs and its peers, sell raw enrichment data at volume for teams building their own flows, priced per record.

Email-finding and verification APIs return one thing, a verified address, and are often paired with a company data API. And orchestration tools sit above all of them, calling several enrichment APIs in a waterfall and taking the first match per field.

The categories overlap and the vendors move between them; the list of the best data enrichment APIs changes yearly, and the one that is best for a given team is the one that matches its records.

Pricing follows the category. Per API call or per successful match for the data companies, with volume tiers and a monthly minimum; per seat with API access included for the platforms; per verified email for the finders; a platform fee plus the underlying APIs' costs for orchestration.

Free tiers exist and are useful for exactly one thing, a trial on your own data: a few hundred free credits are enough to measure match rate and accuracy on a sample of real records before any contract.

The cost that matters is cost per usable record, a match with a verified email and a current title, which is the only price two providers can be compared on.

How to set up a data enrichment API in a lead flow, step by step

  1. Decide the trigger

Real time on lead creation for inbound and form leads, a scheduled batch for the existing database, on demand for a rep's lookup. Most teams need the first two.

  2. Map the fields

Which returned fields go to which CRM fields, with the rule that enrichment fills blanks and flags conflicts, and never overwrites a value a person typed.

  3. Send the best identifier you have

Email first, then domain plus name, then LinkedIn URL. Match rate depends on the identifier more than on the provider.

  4. Verify before use

Email verification on every returned address before it enters a sequence; a title and company check before the first line of a message relies on them.

  5. Handle no-match and low confidence

A no-match stays a lead with the fields it had; a low-confidence match is flagged, not written. Log both so the match rate is measurable.

  6. Schedule the refresh and the removals

Re-enrich quarterly, re-verify emails before each send, and honor deletion requests across every system the data reached.

Compliance: the rules travel with the data

Enrichment data is personal data about the people in it, and using them carries obligations that do not transfer to the provider.

Under the GDPR in Europe, there has to be a lawful basis for processing business contact data, people can ask what you hold and have it deleted, and the provider should be able to show the source of each record. Under the CCPA in California, consumers have rights to know and to delete.

In the United States, commercial email to an enriched address follows CAN-SPAM: honest headers and subject, a physical address, an opt-out honored within ten business days.

The practical rules for a lead flow are to enrich business fields only, keep the source and the date on each field, route deletion requests to every system the data reached, and choose a provider whose documentation answers the compliance questions before the contract is signed.

One rule for the first line

Any field that the first line of a message depends on, a title, a tool, a hire, is read with its date and its confidence before sending. The API is fast; the fact it returned may be old.

Mistakes with data enrichment APIs

The data enrichment API mistakes below are the ones that make good data look bad in the CRM.

  • Judging a provider on its demo data.
  • Overwriting fields reps corrected.
  • Sending to returned emails without verification.
  • Enriching the whole database on every call instead of the records that will be used.
  • Personalizing on a technographic field with no detection date.
  • Mapping demographic fields nobody needs.
  • Ignoring no-match logs, so the match rate is a guess.
  • Running one provider's waterfall of five contracts before a single provider was tested.
  • Forgetting the refresh, so the routing rules run on last year's company sizes.

In a sequence

The enrichment API runs before touch 1 of the 10-day cadence and decides whether a lead enters it. The first email below was built from returned fields, a recent tool change with a detection date and a confirmed title, and checked by the rep against the source before it went out.

First email built from API-returned fields, checked by the rep
Subject: The sequencing switch at {{company}}

Hi {{firstName}},

Noticed {{company}} moved to {{toolName}} recently. The first thing that breaks after a switch is usually the follow-up steps, because the old cadence did not come across.

We keep a one-page five-touch cadence that teams load in on day one. Want it for the new setup? A one-line reply is enough.

{{senderName}}
Backfires when

The technographic field came back with a detection date from a year ago, or the title is the person's previous role.

API fields are only as current as their date, and an email that opens with a stale fact about the prospect's own company is worse than a generic one.

Read the confidence and the date on every field the first line depends on.

Frequently asked questions

What is a data enrichment API?

A service you call with an identifier for a person or a company, such as an email, a domain, a name and company, or a LinkedIn URL.

It matches that identifier against a database and returns the fields you were missing: title, seniority, company size, industry, revenue band, location, technologies, verified email and phone, and signals such as hiring or funding.

How does a data enrichment API work?

Your system sends a request with the identifier; the provider matches it against its records, returns a response with the enriched fields and a confidence score within seconds, and your system writes the fields into the CRM or the form.

It can run on every new record in real time, on a schedule across the database, or when a rep asks.

What data does a data enrichment API return?

Contact fields: verified business email, direct phone, LinkedIn URL. Role fields: title, seniority, department. Company fields: industry, employee count, revenue range, location, founding year, parent company. Technographic fields: the software the company uses. Signal fields: hiring, funding, leadership changes, research activity, where the provider has them.

What is the difference between a data enrichment API and a CRM enrichment integration?

The API is the raw service your developers call; the integration is the same service packaged as an app inside Salesforce, HubSpot or another CRM, with field mapping done in a settings screen.

Integrations are faster to set up and less flexible; the API fits custom flows, forms and routing rules.

What is the difference between contact enrichment and company enrichment?

Contact enrichment returns fields about a person from an email or a name and company. Company enrichment returns firmographic and technographic fields about a business from a domain.

Most providers offer both, and a lead flow usually calls company enrichment on the domain first and contact enrichment on the person second.

How do you evaluate a data enrichment API?

Match rate on your own list, not the vendor's sample; accuracy of the returned fields, checked by hand on a sample; latency, so real-time enrichment does not slow a form; coverage in your market and region; compliance documentation, including where the data comes from; and the pricing model, per call, per match or per seat.

What is a good match rate for enrichment?

It varies by market: high for mid-market software companies in the United States, lower for small businesses and for regions where business data is sparse. Compare providers on the same list of your records, and separate the match rate for emails, phones and company fields, because they differ.

Is data from an enrichment API compliant with GDPR and CCPA?

It can be, when the provider collects lawfully, documents the source of each record, and supports deletion requests, and when you use business contact data for business purposes and honor removals across your systems.

The obligations sit with your company as well as the provider. Emails sent to enriched addresses in the United States follow CAN-SPAM.

Should enrichment overwrite CRM fields?

No. The safe rule is fill blanks and flag conflicts. A rep who corrected a title after a call knows more than the provider, and an integration that overwrites their correction with a stale value costs the team's trust in the data.

How much does a data enrichment API cost?

Providers price per API call, per successful match, or as part of a seat license, with volume tiers and minimums. Prices change and vary by field set, so compare cost per usable record, a match with a verified email, rather than cost per call.

Can you use more than one data enrichment API?

Yes. A waterfall calls providers in order and takes the first match per field, which raises fill rates for hard-to-find contacts at the cost of more contracts and more compliance surface. Orchestration tools manage the waterfall; a simple flow with one provider is enough for most teams to start.

Is there a free data enrichment API?

Several providers offer free tiers or trial credits, usually a few hundred calls, and a few open data sources cover company basics from a domain.

The free tier is for testing match rate and accuracy on your own records; at production volume every enrichment API is paid, and the sales team's time saved is what it is judged against.

Does a data enrichment API replace research before outreach?

It replaces the lookup, not the reading. The API tells you the title and the tech stack; it does not tell you what the person posted last week or what their company announced.

The first line of an email still needs an observation a person found, and the API fields tell the rep where to look.
